Comparison of four ways to use one WhatsApp Business number with multiple agents

    Quick answers

Can two people use the same WhatsApp Business number?
Yes. The WhatsApp Business App supports linked devices, so two or more people can use the same account on different devices. For assignment and accountability, use the app's multi-agent feature or a WhatsApp API team inbox.
How many devices can use one WhatsApp Business account?
The WhatsApp Help Center says you can connect up to four devices without multi-agent, and up to 10 devices with multi-agent through a Meta Verified or Meta One subscription.
What is a WhatsApp team inbox?
It is a shared web inbox on the WhatsApp Business API where several agents work one business number, with chat assignment, labels, statuses and bot handoff.

    Short answer

    Updated 27 September 2026 (IST).

Short answer: Yes, several people can use one WhatsApp Business number, in four ways. The free WhatsApp Business App lets you connect up to four linked devices. With a Meta Verified or Meta One subscription, the app's multi-agent feature allows up to 10 devices and basic chat assignment. Coexistence lets some providers run the app and the WhatsApp Business API on the same number. A WhatsApp API team inbox moves the number to the official API so agents work from a web inbox with assignment, labels, statuses and automation. Small teams of 2 to 4 are often fine on the app. Once you need accountability, bots, templates or more agents, a team inbox is the usual step.

Option 1: WhatsApp Business App with linked devices (free)

The WhatsApp Business App lets you link other devices, such as WhatsApp Web, the desktop app or a tablet, to your main phone.

    What you get

    • Up to four linked devices alongside your primary phone, according to the WhatsApp Help Center.
    • The same chats on every device.
    • No extra cost.

    Limits

    • Everyone sees every chat and anyone can reply, so two people can answer the same customer.
    • Without multi-agent, there is no built-in way to assign chats or see who replied.
    • Linked devices disconnect if the primary phone is not used for more than 14 days.
    • Broadcasts and automation are basic compared with the API.

Best for: a founder plus one or two helpers, low chat volume.

Option 2: Business App multi-agent with Meta Verified or Meta One

WhatsApp's multi-agent feature is available to Meta Verified or Meta One subscribers on the Business App.

What you get (per the WhatsApp Help Center)

    • Connect up to 10 devices to your account.
    • Name each linked device, for example after the agent using it.
    • Assign chats to agents.
    • See which device or agent sent a message.

    Limits

    • Still device-based, with a cap on devices.
    • If the subscription ends or its benefits change, only the four most recently active devices remain linked.
    • No approved-template campaigns, API integrations or workflow automation on the scale of the API.

Best for: small sales or support teams that want assignment without leaving the app.

Option 3: Coexistence (app plus API on the same number)

Meta supports a setup where a number stays on the WhatsApp Business App while also being connected to the WhatsApp Business API through a provider. People sometimes call this coexistence.

    What you get

    • Keep using the app on the phone while the API handles campaigns or integrations.

    Limits

    • Not every provider supports it, and some features can behave differently or be limited on coexistence numbers. Check your provider's documentation and Meta's current rules before relying on it.
    • Your team may end up split between the phone and a web inbox.

Best for: businesses that cannot give up the app yet but need some API features.

Note: WatsBerry connects numbers through Embedded Signup on the Cloud API only. The number moves to the API and does not stay on the consumer Business App.

Option 4: A team inbox on the official WhatsApp Business API

The number moves to the WhatsApp Business API (Cloud API) and your team works from a shared web inbox.

    What you get

    • Assignment: each chat belongs to one agent, so customers do not get two answers.
    • Labels and tags for service type, stage or branch.
    • Statuses such as open, resolved and snoozed, so nothing is forgotten.
    • Bots with handoff: a chatbot answers common questions and passes the chat to a person.
    • Approved templates for messaging customers outside the 24-hour window.
    • Integrations with your store, calendar or CRM.

    Limits

    • Meta charges per message for templates, and from 1 October 2026 for service replies beyond 1,000 free per business phone number per month (₹0.1150 each after that for Indian numbers, ex-tax).
    • You pay for the platform.
    • Seats are set by your platform plan.

Best for: teams of 3 or more, high chat volume, or any business running campaigns, ads or store notifications on WhatsApp.

    How to decide

    Ask these five questions:

    1. How many people answer chats each day? One to three: the app may be enough. More: look at a team inbox.
    2. Do customers ever get two replies or none? That is an assignment problem the free app cannot solve.
    3. Do you send campaigns, order updates or reminders? Those need approved templates on the API.
    4. Do you run Click-to-WhatsApp ads? Ad-driven chats are easier to track and route in a team inbox. See Click-to-WhatsApp ads in India.
    5. Does the business own the number? Leads should not live on one employee's phone.

Moving from the app to a team inbox

    1. Decide on the number. Use your existing business number or a new one.
    2. Back up what you need from the app, because the number moves to the API.
    3. Connect through Embedded Signup with a Meta-verified provider.
    4. Invite agents and set assignment rules.
    5. Get templates approved for follow-ups outside the 24-hour window.
    6. Add a FAQ bot only after the inbox routine works.
